Content of notes not displaying

Hello,

I just searched a couple of times for a specific sentence in my Tropy and while the search identifies the one document that contains that sentence in the notes, the notes themselves do not appear at all. So it gives me the impression the notes are ‘there’ (reassuring), but not displaying (frightening!). The text I search is not from the metadata, only from my notes. Can you advise?

I attach the screenshot showing that only one result comes up with the phrase I search (this is normal) and on the side the picture showing that no note is attached but the text contained in the notes was correctly identified in the search (strange).

Can you try exporting the item, for example by hitting Ctrl/Cmd+C after selecting the item and then pasting it, for example into a text editor or even right here. This should be a long JSON file with all 32 photos and all metadata and notes.

Just to clarify, does the note show up if you select the item without an active search query?

Thanks for your prompt reply! No, no note shows up either without an active search query. Just the regular item with the metadata. Put differently: I couldn’t guess I took notes on this item if I wasn’t running a search.

I tried to export the item as PDF, and the notes don’t display. But on some pages there is a ‘Note 1’ while on others nothing. If memory serves this corresponds to where the notes should fit… See screen shots attached, one for each case.

I paste in in the replies below the text. Notes don’t seem to show up. I’m sure there should be some notes at least on pages 2 and 3 of this item (clearly the text I entered in the search bar leads to a note on page 2 where I copied the text of the photo).

Thanks! It looks like there are empty notes attached to photos BAC 244_1996 n°278-17 and BAC 244_1996 n°278-18. If you had deleted the notes they would not show up here at all (plus, the item should not show up as a match for your search query) so my guess is that there is an error loading these notes.

Could you post your log file, preferably after selecting and copying this item?

Furthermore, it might be helpful to look at your project file to look at the raw data for these two items. I seem to remember that this is a very large project, but would it be possible for you to share a link to it with me? (You can send me a direct message here if you don’t want to post it publicly)

I have the impression it’s an issue with loading the notes too, as I tried other searches and items are identified but no notes show up. Actually when I randomly look at my project, no notes are displaying at all…

I still need to analyze this further, but I thought I’d let you know right away that there are definitely two notes attached to these two photos in the project file. One of the two notes matches your search query so it looks like our suspicion checks out that there must be an issue loading the note contents.

It’s evident from the logs that there is a timeout trying to load the notes. This is not specifically because of the notes, but happens because the request to load the notes is queued for too long, waiting for other load requests to finish. So this is a consequence of Tropy not being optimized yet for projects of this size. We’re about to release 1.11 in the days ahead, and I’m going to allow for longer timeouts (especially the routine integrity check at start-up takes a long time for your project) and I hope that this will solve the issue of the missing notes.

In the long run, I hope that we’ll be able to further optimize the queries to improve navigating such projects.

Thanks! In the meantime, what should I do: keep writing new notes as if nothing happened? Or is there a risk of ‘overwriting’ a note that already exists but can’t see? I’m asking as I’m basically blind of what notes I have in the project at the moment.

Creating a new note should never overwrite an existing note. However, I’d rather err on the side of caution here and not create/edit any notes while this error exists. I’m planning to push the 1.11 release by Thursday (if not tomorrow) so the fix should be available soon.

As a workaround you could copy selected items to an empty project, work on them there, and copy them back later.
